ARKRAY is seeking a Rebates Coordinator to perform primary audits and determine which claims will be approved or denied. This role also regularly communicates with the sales team regarding new rebate contracts, renewal, eligibility changes, and paid/rejected claims. 

Duties and Responsibilities

  • Performs primary audits (automated and manual) of received rebate reports from purchasing partners; determines if claims are payable.
  • Issues denial notices as needed to purchasing partner per contract requirements.
  • Manages received requests from sales team to create rebate contracts, ensuring all required information is complete and initiates internal approval process per established procedures.
  • Creates new rebate contracts and maintains existing rebate contracts within database for auditing purposes.
  • Communicates with sales team regarding customer accounts, requests, and claim processing.
  • Compiles monthly/quarterly reports to fulfill contract requirements that pertain to end-user rebates.
  • Assists Senior Rebates Coordinator in researching and resolving deductions related to assigned purchasing partners' rebates.
  • Assists Contracts Administrator with research related to expiring contracts.
  • Maintains applicable rebate files and requests electronically.

Knowledge and Skills

  • High school diploma or equivalent required; Associates degree preferred.
  • 1+ year of Accounts Receivable or Audit experience.
  • 3+ year of experience in a role processing rebates, incentives, or in contracts strongly preferred.
  • Experience with Group Purchasing Organizations (GPO) or Buying Groups preferred.
  • Intermediate knowledge of Excel required and basic to intermediate experience with Access preferred.
  • Organized with excellent communication skills.
  • Demonstrated ability to work collaboratively across organizations.
